Job Summary

 

We are looking for an Administrative Assistant to handle a variety of personnel related administrative duties. Your role is to act as the liaison between managers, clients and employees, ensuring smooth communication and prompt resolution of all queries. You will also support our daily activities and assist in coordinating meetings, scheduling, travel arrangements and answering incoming calls.

 

Responsibilities

  • Answer and direct phone calls
  • Organize and schedule meetings
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of weekly and monthly reporting
  • Organize and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and negotiate contracts with vendors
  • Maintain contact lists
  • Book travel arrangements, as requested
  • Submit and reconcile expense reports
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

 

Requirements

  • Proven experience as an administrative assistant or receptionist
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office Suite (Excel, Outlook, PowerPoint and Word)
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; Associates or Bachelors a plus
