Office Services Coordinator 

To assist the Facility Management Advisor with managing the corporate headquarter facility, office space configuration, location of personnel, construction, services, equipment, maintenance, company mail, shipping, security and supplies.

Office Services Coordinator Essential Job Functions:

  • Acquire and maintain working knowledge of facility and office services practices.  
  • Assist in managing office services and maintenance programs and maintains a good working relationship with customers, subcontractors and vendors.  
  • Assist as needed with space requirements, lease portfolio, lease terminations and office closures.
  • Assist with planning and management of office design and construction projects as needed.
  • Manage practices and procedures for mailroom operation and shipping.
  • Maintain the stock levels for office, mailroom and break room supplies and submit purchase requests to management when necessary.
  • Maintains department supplies and inventories. 
  • Tracks status, orders, purchases, and maintains or distributes supplies as needed.
  • Monitors lease and service agreements of office equipment and maintains records.
  • Maintains office equipment and an inventory of supplies and develops professional vendor relationship.
  • Assists with monthly invoice reconciliation
  • Monitors lease and service agreements of office equipment and maintains records.
  • Assists with nation wide business card and stationery orders.
  • Assists Manager with Health and Safety.
  • Assists Managers with construction projects as needed.
  • Assists Manager with administration of company Fire Wardens, training classes and safety drills.
  • Receives and posts company mail and insure proper disposition.
  • Maintains all department files documents and develops or modifies filing practices, including use of electronic rather than paper records.
  • Carries out other duties as assigned.

Office Services Coordinator Requirements:

  • Four-year degree with 2+years facility and office assistance or coordinator experience OR Two-year associate degree and 5+years office assistance or coordinator experience.
  • Ability to meet highest attendance requirements.
  • Proficient computer skills and use of Microsoft Suite (Word, Excel, PowerPoint).
  • Use of AutoCad LT a plus.
  • Could involve some lifting up to 30 lbs.
  • Ability to communicate effectively, both written and verbally.
  • Ability to handle multiple assignments on a timely basis with a high degree of accuracy.
  • Bilingual preferred.
  • Ergonomic certification is a plus.
