Location: Jenkintown, PA

Pay: $18 - $20 / hour

We are seeking a detail-oriented and highly organized Registrar’s Office Assistant to join a busy academic administrative office. This is a contract-to-hire opportunity with an immediate start, ideally during the week of March 2nd for training.

This position offers strong on-site leadership support, free parking, and cafeteria access.

Position Overview

A critical role in supporting the Office of the Registrar. This position is responsible for maintaining the accuracy, integrity, and confidentiality of student records while providing exceptional service to students, faculty, and staff. The ideal candidate will have experience in a college or higher education setting. However, strong administrative or clerical experience in a fast-paced office environment will also be considered.

Key Responsibilities

Data Processing & Records Management

  • Maintain student databases including contact and emergency information
  • Enter FERPA releases and directory opt-out information
  • Process withdrawals, course changes, drop/adds, and program updates
  • Collect and process grade changes
  • Update graduate status and degree conferral dates
  • Coordinate transcript requests
  • Complete enrollment and degree verification requests
  • Scan, label, and upload documents into the student information system
  • Maintain and manage key dates using Google Calendar

Administrative & Front Desk Support

  • Answer and route incoming calls, take accurate messages
  • Provide information regarding registration, transcripts, academic status, re-admissions, and major changes
  • Assist students returning from leave
  • Schedule classrooms and room reservations, including special events
  • Post notices and communicate updates to faculty and students
  • Order office supplies and manage office mail
  • Support special projects as assigned

Compliance & Confidentiality

  • Ensure strict adherence to privacy regulations and FERPA guidelines
  • Protect confidentiality of all student records
  • Support compliance with institutional policies and procedures

Qualifications

Required:

  • Bachelor’s degree
  • Minimum 2 years of administrative/clerical experience
  • Strong data entry skills
  • Experience with office equipment
  • Proficiency in Google Calendar
  • Excellent communication and organizational skills
  • Professional demeanor and strong customer service orientation

Preferred:

  • Experience in a college or university setting, especially in a Registrar’s Office
  • Familiarity with Student Information Systems
  • Experience handling transcript and verification requests
