Overview
We are seeking a detail‑oriented Accounting Associate with strong experience across Accounts Payable, Accounts Receivable, and General Ledger/month‑end activities. This role is ideal for someone who thrives in a fast‑paced environment, takes ownership of their work.
The Accounting Associate will play a critical role in ensuring accurate financial records, timely processing of transactions, and smooth month‑end close execution while partnering cross‑functionally with internal teams.
Key Responsibilities:
Accounts Payable (AP)
- Process high‑volume vendor invoices with accuracy and attention to detail
- Perform 3‑way matching (purchase order, receiving documentation, and vendor invoice) in a PO‑driven environment
- Review invoices for proper approvals, coding, and compliance with company policies
- Manage vendor setup and maintenance, including W‑9 collection and validation
- Respond to vendor inquiries and resolve discrepancies related to pricing, quantities, or missing documentation
- Support payment runs (ACH, check, wire) and ensure payments are issued timely
- Assist with AP aging reviews and accrual identification at month end
Accounts Receivable (AR)
- Own the full accounts receivable lifecycle, including invoice generation, customer billing, cash application, and account reconciliation
- Manage the collections process, proactively following up on past‑due balances, tracking aging, and escalating risks as appropriate
- Maintain accurate customer account records and resolve billing discrepancies promptly and professionally
- Prepare and analyze AR aging reports; provide regular status updates and insights to leadership
- Partner with sales, operations, and customer service teams to resolve invoice disputes and support timely payment
Month‑End Close & General Accounting
- Actively participate in the monthly close process, meeting deadlines with minimal supervision
- Prepare and post journal entries, including accruals, reclassifications, and correcting entries
- Maintain prepaid expense schedules and ensure accurate monthly amortization
- Reconcile assigned balance sheet accounts monthly; research and resolve reconciling items
- Support audits, internal requests, and ad hoc financial analysis for leadership
Qualifications
- 3+ years of accounting experience with demonstrated strength in AR, AP, and general ledger functions
- Prior experience in a purchase‑order–based AP environment with 3‑way matching
- Strong understanding of month‑end close processes and reconciliations
- High level of accuracy, organization, and attention to detail
- Ability to manage multiple priorities and meet deadlines independently
- Proficiency with accounting/ERP systems and Microsoft Excel
- Strong written and verbal communication skills
