Administrative Supervisor

Location: Walnut Creek, CA

Pay: $90-100k / year


Job Responsibilities

· Manage administrative support team for the tax accounting team

· Oversee all tax administrative duties, including managing engagement letters, organizing client tax documents, and ensuring timely completion of tax returns and extensions.

· Coordinate effectively with colleagues across departments to prioritize tasks and ensure project completion within deadlines.

· Provide comprehensive training to new tax administrative hires on software usage, procedures, and best practices.

· Conduct thorough reviews of tax administrative work for accuracy and completeness, including updates to tracking systems, documentation, and client communications.

· Act as a point of contact for clients, staff, and administrative inquiries.

· Proactively identify opportunities for process improvement within the tax administration function and implement effective solutions.

· Assess and mitigate quality control risks in collaboration with the tax department head to uphold firm standards.

· Organize tax assembly kick-off meetings and process improvement sessions.

· Participate in weekly scheduling meetings and disseminate relevant updates to the administrative team.

· Collaborate with the tax department head to maintain and refine all tax administrative documents and procedures.


Position Qualifications/Requirements:

· 5+ years' administrative experience

· Excellent organizational & time management skills and ability to coordinate with all levels of staff and handle multiple tasks from various office departments

· Strong proof reading, formatting, and editing skills and grammar

· Proficient in Microsoft Office & CCH Axcess Pfx Tax (or similar)

· Bachelor's Degree preferred, not required
