An Addison Group client is looking for an Executive Administrative Assistant to join their team on a contrat basis!
Essential Duties and Responsibilities
- Types correspondence, minutes, reports, and proposals for the C-Suite.
- Provides telephone coverage, opens and distributes incoming mail, copies documents, maintains and updates filing system.
- Monitors office supplies, prepares Requisitions to Purchasing, Requisitions to Accounting, Petty Cash, and Travel Expense Reports.
- Schedules meetings for the Foundation, Hospital and Continuum Board and the Board’s Committees and other meetings as directed by the COO and/or Board Chairman.
- Preparation for meetings includes: confirming meeting site, ordering lunch, preparing agenda, transcribing minutes, assembling reports, collating for mailing.
- Attends meetings, takes and transcribes minutes. Maintains minute books along with related files.
- Updates and maintains Board mailing lists, committee lists and other Board records and distributes as appropriate.
- Makes arrangements for the Annual Board of Directors Meeting.
- Assists the COO and other Administrative staff whenever work-load demands; i.e., telephone coverage, typing, proofreading, etc.
- Maintains cooperative, courteous and respectful demeanor in all interactions with patients, visitors, and other employees.
- Other duties as assigned
- Assisting patients, family members and other customers with concern and empathy.
- Respect patient confidentiality and privacy.
- Communicate with all customers in a respectful and courteous manner.
- Responsible for completing training in topics identified as part of the performance evaluation process, and for training mandated for the department which are listed below:
- Emergency Preparedness/Right-to-Know; Compliance Training; Incident Reporting; Infection Control; Non-violent Crisis Intervention Refresher (if applicable)
