Overview:
We are seeking a highly motivated and organized Administrative/Office Assistant to join our dynamic team. You will play a vital role in supporting our daily operations, providing efficient assistance to staff and management, and ensuring smooth communication within the office. With at least 5 years of relevant experience, you are proficient in administrative tasks and possess excellent communication and interpersonal skills.
Responsibilities:
Administrative Support:
- Answer and direct phone calls, manage emails and other communication channels.
- Schedule appointments and meetings for staff and management.
- Prepare and distribute meeting agendas and minutes.
- Maintain filing systems (physical and digital) for efficient document management.
- Order and manage office supplies and equipment.
- Coordinate travel arrangements for staff as needed.
General Tasks:
- Greet visitors and provide basic information and assistance.
- Manage petty cash and office expenses.
- Assist with payroll processing (data entry, basic calculations).
- Prepare basic reports and presentations as directed.
- Support other departments as needed.
Requirements:
- Minimum of 5 years of experience as an Administrative Assistant or similar role.
- Strong understanding of basic administrative tasks and procedures.
- Excellent organizational, time management, and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication, interpersonal, and customer service skills.
- Ability to work independently and as part of a team.
- Detail-oriented and highly organized with a strong sense of accuracy.
- Ability to handle confidential information discreetly.
