About Our Client:

Addison Group is partnering with our client, a large global organization in the technology space, to hire a Talent Acquisition Coordinator / Concierge II. This position is open due to an internal promotion and supports a high-performing Talent Acquisition Operations team at their San Jose headquarters. This is a high-visibility role within a fast-paced corporate environment.

Job Description:

This role blends recruiting coordination and onsite candidate experience support. Approximately 60–70% of the position focuses on interview scheduling, offer processing, and onboarding coordination, while 30–40% centers on serving as the onsite host for candidates during interview days.

The ideal candidate is polished, highly organized, detail-oriented, and comfortable acting as the face of the organization when welcoming and escorting candidates. This is a fully onsite role, and flexibility is required depending on interview volume.

Local San Jose candidates only.

Key Responsibilities:

  • Coordinate complex interview scheduling across multiple stakeholders using an Applicant Tracking System (SmartRecruiters preferred)
  • Manage offer letter preparation and routing for approvals
  • Initiate and support onboarding workflows
  • Maintain accurate and compliant ATS records
  • Serve as the primary onsite contact for interview candidates
  • Greet, host, and escort candidates throughout interview days
  • Oversee interview logistics including room setup, refreshments, technology coordination, and cross-functional communication
  • Partner with recruiters, HR, IT, and other departments to ensure a seamless hiring experience
  • Support administrative processes such as documentation management and expense reporting
  • Identify process gaps and proactively recommend improvements

Qualifications:

Required:

  • 3+ years of experience in Talent Acquisition, HR, Administration, or customer-facing operational roles
  • Experience working within an Applicant Tracking System
  • Strong proficiency in Microsoft Office (Outlook calendaring required)
  • Excellent verbal and written communication skills
  • Exceptional attention to detail
  • Ability to multitask and manage competing priorities in a fast-paced environment
  • Strong interpersonal skills and ability to maintain confidentiality
  • Demonstrated problem-solving and critical-thinking ability

Preferred:

  • Experience with SmartRecruiters
  • Familiarity with Workday
  • Exposure to onboarding systems (e.g., Clickboarding)
  • Comfortable using Microsoft Teams and collaboration tools
  • Prior corporate office experience

Additional Details:

  • Schedule: 40 hours per week (8-hour days)
  • Duration: 6-month contract
  • Target Start Date: ASAP
  • Potential for extension based on performance and business needs
  • Fully onsite role in San Jose
  • Reports into Talent Acquisition Operations leadership
  • Supports 1–2 recruiters and coordinates approximately 10–15 onsite interviews per week
