Job Summary
We are seeking an experienced Payroll Specialist to join our growing finance team. This role is responsible for accurately processing payroll, maintaining employee pay records, and ensuring compliance with federal, state, and local regulations. The ideal candidate will have strong attention to detail, solid knowledge of payroll processes, and the ability to work collaboratively with HR and Finance. As the role evolves, the Payroll Specialist may take on expanded responsibilities, offering opportunities for long-term growth within the organization.
Key Responsibilities
- Process bi-weekly and/or semi-monthly payroll for hourly and salaried employees
- Review and validate payroll data including hours worked, overtime, bonuses, commissions, and deductions
- Maintain accurate employee payroll records, including new hires, terminations, and compensation changes
- Ensure compliance with federal, state, and local payroll tax regulations
- Reconcile payroll registers, tax filings, and benefit deductions
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner
- Coordinate with HR and Benefits teams to ensure accurate payroll and benefit administration
- Assist with payroll-related audits by preparing reports and supporting documentation
- Support month-end close activities related to payroll expenses and accruals
- Contribute to payroll process improvements to enhance efficiency and accuracy
Qualifications
- 3-5 years of payroll processing experience required
- Multi-state experience (Pennsylvania, Indiana and Ohio preferred)
- Experience with payroll systems and HRIS platforms (PeopleSoft preferred)
- Strong understanding of payroll taxes, union payroll, general tax laws, tax liens, wage and hour laws, and compliance requirements
- Excellent analytical, organizational, and problem-solving skills
- Strong written and verbal communication abilities
- Ability to manage multiple deadlines in a fast-paced environment
- High level of accuracy and attention to detail
